Check-In / Check-Out Policies

The Cottage at Dunmore property has the following check-in and check-out times and policies.
Check-In: 3:00 PM
Check-Out: 10:00 AM

Property and Cancellation Policies:

1.    Interpretation
1.1. The following Terms and Conditions apply to all accommodation bookings with The Cottage at Dunmore (bookings) and any other related services provided in connection with bookings. The Terms and Conditions apply to the client and any accompanying guests.
1.2.  By making a booking with us, the client automatically acknowledges that these Terms and Conditions have been read and agrees to be bound by them.
1.3.  We reserve the right to vary these Terms and Conditions at any time by posting an updated version on our website.
1.4. The Terms and Conditions should be read in conjunction with the HRIA Code of Conduct https://hireandrental.com.au/wp-content/uploads/2019/09/HRIA-Code-of-Conduct-2019.pdf 

2. Liability
2.1. The client and any accompanying guest will not hold The Cottage at Dunmore or the landowner responsible for any damage to the accommodation, equipment provided and/or surrounding property of the landowner (property) caused in connection with the use of the property for the purpose of the booking.
2.2. The client will indemnify The Cottage at Dunmore and/or the landowner for any damage caused to the accommodation and/or property in connection with the booking. This includes damages, insurance, loss due to fire, loss due to misadventure, theft, injury or death.
2.3. The client and any accompanying guest will not hold The Cottage at Dunmore or the landowner liable for any loss, damage, injury, death, legal actions, insurance claims or expenses which the client might assert from an event arising from, or in connection with, the use of the property for the purpose of the booking.

3. Booking terms
3.1. The client must record the name and requested details of each guest to be included in the booking.
3.2. Any persons not listed on the relevant booking are not permitted to enter the property or the accommodation at any time.
3.3. The client must notify The Cottage at Dunmore immediately of any changes to the persons attending the booking.
3.4. Failure to adhere to this section may result in a penalty charge of $100.00 per person not recorded as a guest under the booking.
3.5. The Cottage at Dunmore will hold the credit card details used for the booking securely on the system as a security bond. This nominated card will be automatically debited in the event of: damage to the property, equipment, breakages, extra cleaning or as deemed in the full listing of these Terms and Conditions. The client gives authority for the deduction of any additional fees, charges or reimbursements as set out in these Terms and Conditions.

4. Booking cancellations and variations
Cancellations
4.1. A client must cancel a booking by emailing hello@dunmorefarm.com.au and include the booking reference in this communication.
4.2. In the event that a client cancels a booking at least 14 days before the date of check-in, The Cottage at Dunmore will refund the client the total amount of the booking cost minus a service fee of 15% of the total booking cost.
4.3. The Cottage at Dunmore will not provide any refund for booking cancellations provided less than 14 days from the date of check-in.
4.4. In the event that a client fails to attend all or part of their booking, The Cottage at Dunmore will not provide a refund.
4.5. Please note that terms 4.1. to 4.5. may be varied at the discretion of The Cottage at Dunmore


Variations
4.6. A client must vary a booking by emailing hello@dunmorefarm.com.au with the booking reference number and the varied booking details/request.
4.7. It is at the discretion of The Cottage at Dunmore to accept or decline a change to a booking.
4.8. If The Cottage at Dunmore accepts a change to the original booking, the updated booking will be considered to be a new booking.
4.9. If The Cottage at Dunmore is unable to accommodate the requested changes to a booking, and the client cannot attend the original booking, it will be treated as a cancellation and terms 4.1. to 4.5. will apply.

5. Weather and natural disasters
5.1. Please note that due to being rural farming property we are unable to guarantee your comfort in extreme weather conditions. The Cottage at Dunmore is equipped with an air-conditioner, heaters in each room and a wood heater fireplace in the living room. In summer (specifically January and February) it can get hot and similarly to any Victorian regional and rural area there is bush fire risk and for this reason we recommend you consider your dates carefully. We also strongly recommend you take out travel insurance to cover your reservation in the event of extreme weather and/or natural disasters, and carefully check the T&Cs.
5.2. Terms 4.1. to 4.4. do not apply to circumstances of inclement weather conditions or natural disasters that may put any persons in real danger of accessing the location of the accommodation. This only includes weather conditions or natural disasters that are present in the area of the accommodation which may impede safe access to the accommodation.
5.3. In situations where term 5.2. applies the client can choose from one of the following options:

5.2.1. a new booking worth the same value as the original booking; or
5.2.2. a voucher for accommodation with The Cottage at Dunmore of the same value as the original booking 

6. Contact for assistance
6.1. The client can request assistance during their stay at any time by contacting The Cottage at Dunmore via text message to 04515 21216 .
6.2. Any persons staying or visiting the accommodation are not permitted to contact the land owner at any time.
6.3. In the event of an emergency, the relevant emergency services should be called immediately by calling 000.

7. Pets
7.1. Due to Dunmore Farm being a working farm as well as being surrounded by farmland and natural bushland areas pets are strictly not allowed at The Cottage at Dunmore accommodation or on the landowner’s property at any time.

8. Smoking
8.1. Smoking is prohibited in or near the accommodation. Failure to comply may result in a penalty and cleaning charge of $1000.00, which will be charged to the nominated credit card.

9. Breakages and Damages
9.1. In the event that any part of The Cottage at Dunmore, including interior and exterior areas, as well as any furniture, furnishings, appliances or household items are damaged, broken or removed during the stay, an amount equal to the repair or replacement cost for the goods will be charged to the nominated credit card. The Cottage at Dunmore accommodation is designed to a very high standard, and are finished and furnished with costly materials and products. Every guest registered is personally responsible for all charges and remain liable for all damages of the accommodations unit or the property therein or the landowner’s property, or any discrepancies during their stay, due to actions of themselves or their guests. In the event of foregoing, the registered guests give The Cottage at Dunmore the authority to charge the registered guest’s credit card for any losses incurred by The Cottage at Dunmore.
9.2. The guest must not remove any item from The Cottage at Dunmore that does not form part of his/her personal belongings. In the event that any items are missing from the property after the guest’s departure, the cost of replacement will be charged to the nominated credit card.
9.3. This includes failure to exit the accommodation properly and leave the property in the condition it was found in (eg failure to turn off heating, close windows, secure the key in the key lock box).
9.4. The guest must notify The Cottage at Dunmore immediately of any damage to the property including its fixtures, furniture and furnishings.

10. Lockouts and loss of key
10.1. In the event of loss or damage of the key to The Cottage at Dunmore accommodation the guest will incur a $50 replacement fee.

11. Fires
11.1. The only fire permitted at The Cottage at Dunmore is the use of wood heater fire. No fires are permitted outside of the Cottage at Dunmore.


12. Commercial use of The Cottage at Dunmore – Photoshoots
12.1. Unless we agree otherwise, commercial use of The Cottage at Dunmore is strictly prohibited. While we are more than happy for our guests to take photographs and videos for their own personal purposes, any commercial photoshoots at The Cottage at Dunmore are prohibited unless we have provided prior written approval. All filming and photography requests must be sent prior to the date of arrival and subject to the discretion of The Cottage at Dunmore and may be subject to additional fees. 13. No Tenancy
13.1. The guests agree that regardless of the length of stay at The Cottage at Dunmore, the guests are not tenants of Dunmore Farm and will have no rights in relation to tenancy.

14. Breach of the Terms and Conditions
14.1. In the event that the client or guest fails to comply with the aforementioned Terms and Conditions, The Cottage at Dunmore reserves the right to ask the client and guest to leave the accommodation and property, and the client in question cannot request any form of compensation. The total loss or damage that The Cottage at Dunmore suffers as a result of that breach will be charged to the nominated credit card or other form of payment assured.

15. Your stay
15.1. Your confirmation email will provide all the necessary details regarding your stay with The Cottage at Dunmore. Please familiarise yourself with The Cottage at Dunmore policies and T&Cs and get in touch with us if you have any questions before check-in.
15.2. Maximum occupancy of the cottage accommodation is six (6) adult guests and one infant. Children two years old and older are considered a guest. (Only those persons indicated in the booking made by the client may enter the property, unless an alternative agreement has been reached with The Cottage at Dunmore.
15.3. Check in from 3:00pm. You will be advised prior to your arrival of the check-in procedure and or key code to enable access. Please park at the back of The Cottage at Dunmore and access The Cottage at Dunmore via the back/kitchen door. You must not drive or walk elsewhere on the property, for your safety and with respect for the land owner, and will be held responsible for all injuries, losses and damages caused if this is not adhered to.
15.4. Check out at 10:00am. Our cleaners will arrive shortly after this time so please make sure you have taken all your personal belongings, close all windows and leave the key in the inside of security door unless otherwise advised. Leaving after 10:00am without prior authorisation will result in an additional charge of 50% of your total nightly booking fee.
15.5. The client agrees to leave the premises in a clean and tidy state upon departure as it was found at check-in and ensure the departure check list is adhered to. In the event of the failure to do so, additional cleaning fees may apply. These additional fees will be charged to the nominated credit card.
15.6. All minors under the age of 18 years must be accompanied by a parent or legal guardian. No illegal substances or underage drinking are permitted at the property. The Cottage at Dunmore will not be held responsible for underage drinking and violations of this policy will result in immediate expulsion from the premises without refund, and the involvement of law enforcement.
15.7. The Cottage at Dunmore is located on a working farm property so paddocks are inaccessible and so may involve the occasional farm worker, motor vehicle or tractor passing within the vicinity of the Cottage. Such interactions will be avoided and/or kept to a minimum during guest hours. But at times due to weather conditions or market requirements this may be unavoidable and the client accepts this as part of their stay.



16. Septic Tank
16.1. The Cottage at Dunmore is fitted with a farming septic tank and the following must be adhered to – all sanitary products must not be put down the toilet. They must be disposed on using the bin provided. Only the provided Septic friendly cleaning products maybe used including dishwashing detergents and soaps. Failure to follow the instructions will result in a $1000 repair and servicing charge for restoring the septic and or toilet to normal operating standards.

17. Amendments to the Terms and Conditions
17.1.  The Cottage at Dunmore may make amendments to the Terms and Conditions at any time without prior notice. If any amendments are made, the date of the Terms and Conditions will be updated to reflect the date of changes made. The updated Terms and Conditions will apply to all persons engaging in services provided by The Cottage at Dunmore

Definitions
Client includes any person who makes a booking of accommodation with The Cottage at Dunmore,
Guest includes any person who is attending the accommodation in the company of the client and/or person listed in a booking.
Landowner includes the registered landowner(s) of the property that the accommodation is positioned on.
Property includes the entire property of the landowner that the accommodation is hosted on.
Person listed in a booking includes persons, other than the client, who are listed on the booking.
Real danger includes persons attending the booking
